Office Support and Programs Coordinator


Under the direction of the Administrative & Development Director, the Office Support and Programs Coordinator helps with the day to day operations of the NEC through operational, administrative and program coordination support.

 Hours: 20 hours a week. Flexible, to not exceed 8 hours/day without prior approval.

Pay rate: $12 per hour.


Specific Tasks:

  1. Handle miscellaneous errands as needed, including picking up mail from post office box.
  2. Answer phone in office, routing calls or information as needed to appropriate individual.
  3. Route incoming mail to the appropriate board member or staff to be answered or dealt with.
  4. Open incoming donations and checks. Ensure that donor information is on remit envelope to provide information required for data entry into the database.
  5. Placed all checks and cash into the cash box for deposit.
  6. Update member and donation database, respond to donors & membership renewals (thank you notes).
  7. Run all credit card donations, both monthly and through mail.  Capture on-line donations in a timely manner.  Print monthly credit card donation information and place in appropriate file. 
  8. Prepare mailing lists for bi-monthly EcoNews, fund appeal letters, postcards, etc.
  9. Participate in office staff meetings.
  10. Submit time sheet with duties performed in time period by the 15th and last day of pay period.


Birdathon (April-June)

  1. Coordinate participants in Birdathon
  2. Responsible for outreach to general community through published material and social media
  3. Work with team captains to ensure all payments are received.
  4. Request check for Audubon’s donation.
  5. Thank you notes to birdathon participants


All Species Parade (July – Sept)

  1. Coordinate with Same Old People on parade logistics
  2. Recruit and coordinate parade participants
  3. Designate parade theme, with input from staff
  4. Organize at least one costume workshop
  5. Responsible for outreach to general community through published material and social media

 Endangered Art Show (July – Sept)

  1. Recruit art pieces
  2. With EAS Intern, create event flyer and other publicity
  3. Input art pieces into Flickr for online viewing
  4. Set up art pieces and silent auction at North Country Fair
  5. Update website after the event with the artists and their pieces
  6. Mail copies of the art to representatives after the event

 Community Outreach

  1. Along with Admin & Development Director, determine most appropriate outreach events for NEC to attend
  2. Gather necessary supplies for tabling box
  3. Recruit volunteers to assist with tabling
  4. Update community outreach event tracking spreadsheet after each event



  1. Recruit Adopt-A-Block participants
  2. Compile hours and data
  3. Coordinate as needed with Retired, Senior Volunteer Program Manager
  4. Responsible for outreach to general community through published material and social media
  5. Organize yearly volunteer thank you event
  6. Work with Administrative & Development Director on project budgets and grant-related finances
  7. Responsible for determining most appropriate disposal method of collected materials and follow through


  1. Produce programs-specific content for EcoNews
  2. Assist in review of EcoNews prior to print 
  3. Solicit EcoNews advertisers
  4. Help coordinate distribution of EcoNews locally and out of area.
  5. Provide EcoNews Editor with bi-monthly mailing list.
  6. Update member groups mailing list for EcoNews
  7. Find Student Column writers for each edition


  1. Assist with creation and sending of action alerts
  2. Assist with Facebook & Instagram and other web updates as directed
  3. Update KHSU’s EcoNews Report ascertainment form

 Staff & Volunteer Relations:

  1. Manage, motivate and inspire volunteers
  2. Meet at least monthly with all NEC staff
  3. Assist with fundraisers and other events as needed
  4. Recruit and supervise interns
